Old system lacks necessary features

Prior to choosing ShoreTel, Monheit Zongolowicz Frisch, CPAs LLC, (MZF) was using older Alcatel-Lucent Technology products via a T-1 line between offices. Users wanted more sophisticated features.

MZF was at a crossroads. As its Alcatel-Lucent Technology system aged, the motherboard was failing and users wanted modern features such as direct dial extensions and voice-mail capabilities. The firm looked at Cisco and Alcatel-Lucent products. At the end of the evaluation, price and feature sets made the ShoreTel solution the most attractive choice.

“At the time, our internal office communications were less than ideal. So, in the beginning, we decided to test the product and implement the ShoreTel solution in our Sun City West office. Six months later we bought another switch and tied the two offices together. Now we all have directdial extensions, which makes our lives easier,” says Gary Frisch, CPA, partner and IT decision maker at Monheit Zongolowicz Frisch, CPAs PLC.

Cloud-based ShoreTel Scribe and ShoreTel Fax hybrid services enable higher productivity

Hybrid service ShoreTel Scribe transcribes voice messages so users can read them via email. ShoreTel Fax enables employees to send and receive faxes via email from their mobile devices. ShoreTel Scribe hybrid service offers incredible convenience. Users no longer have to strain to listen to voicemails when in noisy environments. Even better, they can check their messages while in meetings, without disrupting others, and the text files can be forwarded or added to our document management system for long-term reference,” explains Frisch.

Both services make it easier and more practical to work remotely, which saves employees and MZF partners’ hours of unproductive commute time. For Frisch, the additional revenue generated by the ability to bill an additional hour and a half a day, approximately 50 times a year, quickly adds up. ShoreTel Scribe and ShoreTel Fax hybrid services also leverage the firm’s current investment by adding new functionality with no additional capital expenses.

“With ShoreTel Fax and ShoreTel Scribe hybrid services, there was very minimal training required. Once the application was set up correctly, it was a matter of simply checking a couple of boxes for that user, and then employees get their messages transcribed automatically. The ShoreTel Fax product setup is just slightly more involved. To send a fax, you type in the fax number and it just works,” comments Frisch.

The cloud model enables smaller firms to affordably deploy robust features

ShoreTel hybrid services ShoreTel Scribe and ShoreTel Fax are delivered as pay-as-you-go services and require no upfront hardware investment. “When you look at the ease of setup, the ability to easily add or remove users and pay a reasonable flat monthly fee, without a big commitment or investment, it’s a win-win situation,” says Frisch.

ShoreTel also makes a lot of sense for a smaller firm such as MZF because of its expandability and manageability. As the MZF firm grew, ShoreTel has made it easy to add phones, change extensions, reprogram, and switch phone assignments, without requiring an IT professional. Deploying the fax product was a similar experience. MZF no longer needs to pay a third party to add the fax numbers. With ShoreTel, IT simply signs up users and chooses fax numbers on the ShoreTel Connect system, and it’s good to go.

I WOULD RATE SHORETEL PRODUCTS A 9+ OUT OF 10.”

Security and flexibility have MZF planning to move its entire operation to the cloud

In the future, MZF is considering moving more applications to the cloud, including those currently running on its on-site ShoreTel server, as well as its tax software, document management, practice management, and billing systems. The firm finds the cloud model interesting for a variety of reasons. Reducing costs and the need for infrastructure management are at the top of the list. Fears about data security in the cloud are not an issue.

“In our office, we have server racks, and everything else, all locked up. And one could ask the question: Is that more secure than my data in the cloud? Can I trust someone else to watch over my data? I personally believe ShoreTel server systems are probably more secure than anything we, as a small company, could implement in our office. For a smaller firm, it’s somewhat unreasonable and unrealistic to think that we could afford the same level of security as ShoreTel provides,” comments Frisch. MZF rates ShoreTel products a 9+ out of 10
